People & Membership

Know who belongs to your organization, and how they take part.

The members area gives your organization one maintained register of the people who belong to it. Each member has a profile with contact information, membership category, status, joining date and notes, so the organization's knowledge of its members does not sit in one officer's spreadsheet or phone.

The problem it addresses

Many associations and NGOs keep membership in several lists that drift apart over time. When a secretary changes, or a branch keeps its own records, the organization loses track of who is active, who has lapsed and who should be contacted.

In practice

Before an annual general meeting, a community association filters its register for active members, checks who has lapsed, and exports an attendance list, without collecting names again from branch leaders.

Connected to the platform

Members sit alongside volunteers, donors and events in the same workspace, so the people who participate in your work are recorded once and seen in the activities they join.

What you can do

  • —Create, edit and search member profiles
  • —Record membership category, status and joining date
  • —Filter by status, category or location
  • —Open a record drawer to see a member's details in context
  • —Export member lists for meetings and reviews

Donor Management

Keep funding relationships consistent, not dependent on memory.

Donor management keeps individuals, foundations, corporate partners and institutions in one place, with their contact details, type, giving history and related pledges and grants. Anyone with the right access can see the relationship as a whole, rather than piecing it together from email threads.

The problem it addresses

When donor information lives with the person who manages the relationship, continuity breaks the moment that person is unavailable. Thank-you letters are missed, pledges are not followed up and reports to funders are prepared from incomplete records.

In practice

A programme manager preparing for a funder meeting opens the donor's page to see past gifts, outstanding pledges and which funds those gifts were assigned to, before walking into the room.

Connected to the platform

Donations recorded against a donor flow into the finance records, so the same gift appears in the donor's history, the receiving fund and the organization's income reports.

What you can do

  • —Donor profiles by type: individual, foundation, corporate, institutional
  • —Giving history drawn from recorded donations and income
  • —Pledges tracked separately from money actually received
  • —A donor finance view showing funds and grants linked to the donor
  • —Search and export of donor lists

Volunteer Management

Coordinate the people who give their time, not just their names.

The volunteers area records who volunteers with your organization, what skills they bring, when they are available and how many hours they have contributed. Coordinators can see the whole volunteer base instead of relying on group chats and personal contact lists.

The problem it addresses

Volunteer coordination is often handled informally. People sign up in one channel, are assigned in another and their contribution is never recorded, which makes it hard to plan, to recognise volunteers or to report their contribution to funders.

In practice

Ahead of a weekend outreach, a coordinator filters for volunteers with first-aid and logistics skills who are currently active, then contacts them directly from the list.

Connected to the platform

Volunteers are recorded in the same system as the events, projects and tasks they support, so their contribution can be considered alongside the work it made possible.

What you can do

  • —Volunteer profiles with skills and availability
  • —Status tracking for active and inactive volunteers
  • —Hours recorded per volunteer
  • —Filtering by skill or status when staffing an activity
  • —Exportable volunteer lists

Programme Management

See each programme as a whole: its projects, budget and spending.

Programmes group related projects under a shared objective, such as education, health or livelihoods. Impact shows programme-level positions in the Finance Centre, bringing together budget, commitments, actual spending and remaining balance, so leadership can review a programme rather than a scattered set of projects.

The problem it addresses

Programme leads are often asked how a programme is performing financially and operationally, but the answer requires adding up project spreadsheets by hand. That makes reviews slow and the figures hard to trust.

In practice

During a quarterly review, the director opens the education programme to compare budget against spending across its projects, and sees which project has committed most of its remaining budget.

Connected to the platform

Programme positions are calculated from the same budgets, expenses and journals used across Finance and Accounting, so the programme view and the financial reports agree.

What you can do

  • —Projects organized under programmes
  • —Programme budget, commitment, actual and remaining figures
  • —Previews of shared cost allocation by budget, spend or equal split
  • —Drill-down from a programme to its projects and transactions

Project Management

Keep every project's status, team and money in view.

Each project in Impact has its own record: description, programme, status, progress, location, dates, people responsible and targeted beneficiaries. Projects also carry a financial summary drawn from related budgets and expenses, so delivery and spending can be reviewed together.

The problem it addresses

Project updates are usually gathered through meetings and messages, then rewritten for reports. By the time a board or funder sees them, the information is out of date and disconnected from the money spent.

In practice

A clean-water project is marked at risk after a delay. The project lead updates its status and progress, and the director sees the change on the dashboard together with how much of the budget has been spent.

Connected to the platform

Projects connect to programmes, tasks, budgets and expenses, which means implementation progress and financial position are recorded in one place.

What you can do

  • —Create and edit projects with status and progress
  • —Record locations, dates and beneficiary targets
  • —Financial summary of budget and spending per project
  • —Link tasks and documents to the project they serve
  • —Filter and export project lists

Events, Activities & Tasks

Plan activities properly and make sure the work gets done.

The events area records outreaches, fundraisers, trainings and meetings with their dates, venues, capacity, registrations and budgets. The tasks area holds the work behind them: what needs doing, who owns it, its priority and when it is due.

The problem it addresses

Events and the tasks behind them are often coordinated in chat groups. Responsibilities blur, deadlines slip, and after the event nobody can say what it cost or what followed from it.

In practice

A youth organization plans a skills fair: the event is created with its venue and budget, tasks are assigned for logistics and publicity, and the coordinator checks overdue tasks each morning in the week before.

Connected to the platform

Events and tasks sit beside projects, volunteers and finance, so activities are planned with their people and costs rather than in isolation.

What you can do

  • —Event records with date, venue, capacity and registrations
  • —Event budgets and a financial summary of related spending
  • —Tasks with owner, priority, status and due date
  • —Overdue and due-this-week views for coordinators

Donations & Fundraising

Record every gift once, and see where it went.

Donations are recorded with their donor, amount, date, payment method, campaign and the fund they belong to. Each record receives a unique reference. Income from grants and other sources is recorded in the Finance Centre in the same structured way.

The problem it addresses

When gifts are noted in a notebook or a bank statement and only reconciled at year end, organizations cannot say with confidence how much was raised, for what purpose, or whether restricted gifts were used as intended.

In practice

A diaspora network sends a gift for school fees. It is recorded against the donor and the education fund, appears in the donor's history and contributes to the fund's available balance.

Connected to the platform

Recorded gifts feed the funds, finance overview and accounting journals, so fundraising figures and financial reports are drawn from the same records.

What you can do

  • —Record donations with donor, fund, method and campaign
  • —Distinguish restricted and unrestricted money
  • —Track pledges separately from received funds
  • —Income totals by period, source and fund
  • —Export of donation and income records

Money / 08

Finance & Accounting

Operational finance for daily decisions, accounting for formal records.

Impact separates two needs. The Finance Centre supports day-to-day financial management: transactions, income, expenses, bills and payables, invoices and receivables, budgets, funds, grants, commitments, procurement, vendors, approvals, reports and an audit trail. The Accounting Centre holds the formal records: chart of accounts, journals, general ledger, trial balance, financial statements, adjustments and transfers, accounting periods and close, finance-to-ledger reconciliation, bank reconciliation, journal approvals and accounting reports.

The problem it addresses

Many organizations manage money in spreadsheets that cannot show what is restricted, what is committed or what remains. Formal accounts are then prepared separately, often by an external accountant, and rarely agree with the operational figures used for decisions.

In practice

A finance officer records a supplier bill against a project budget. After approval and payment, the expense reduces the fund's available balance and the related journal appears in the general ledger and trial balance used for month-end close.

Connected to the platform

Finance draws on donors, projects, programmes and events, and accounting is derived from those same finance records, so an amount on a report can be traced back to its source. Tax and statutory filings are not prepared by Impact.

What you can do

  • —Restricted and unrestricted fund positions
  • —Budgets compared with commitments and actual spending
  • —Expense and bill workflows with approvals
  • —Balanced double-entry journals with debit and credit validation
  • —General ledger, trial balance and financial statements
  • —Bank reconciliation with auto and manual matching
  • —Accounting periods with month-end close
  • —Audit trail of financial actions

Communication / 09

Communication & Information

A consistent record of what your organization says, and to whom.

The communications area holds announcements and messages to defined audiences, with drafts and a record of what was sent. The news area manages stories and updates. Documents such as policies, agreements, receipts and evidence are stored by category so they can be found when needed.

The problem it addresses

Organizational communication is usually scattered across personal email and chat apps. There is no record of what was said to members or partners, and key documents disappear when staff move on.

In practice

Before a donor renewal, the communications officer finds the last update sent to that funder, the published story about the project and the signed agreement in the document library.

Connected to the platform

Messages, stories and documents relate to the same people, projects and funding held elsewhere in Impact, giving context to what the organization communicates.

What you can do

  • —Messages with audience, status and send record
  • —News and stories with drafts and publishing status
  • —Document library organized by category
  • —Search across documents and communications

Reporting & Accountability

Reports built from your records, not rebuilt from memory.

Because records are kept in one structured system, Impact can present dashboards and reports drawn directly from them: organizational activity, people, projects, finance and accounting. Reports can be exported as files for boards, funders and auditors.

The problem it addresses

Reporting is often the most painful task in a nonprofit. Each report is assembled by hand from different sources, which consumes staff time and makes figures difficult to defend.

In practice

For a board meeting, the director exports budget against actual, a fund statement and a project status report, all produced from the same records the team updates each week.

Connected to the platform

Every report depends on the other modules. The more consistently teams record their work, the more reliable and less laborious reporting becomes.

What you can do

  • —Organizational dashboard with key figures and charts
  • —Operational reports across people, projects and events
  • —Financial reports such as budget against actual and fund statements
  • —Accounting reports including trial balance and statements
  • —CSV and spreadsheet exports

Permissions & Oversight

Clear boundaries around who can see and do what.

Administration in Impact covers users, roles, organization profile and settings. Roles determine which areas a user can access and which actions they can take, such as recording or approving financial items. An activity log and finance audit trail record what was done and when.

The problem it addresses

Shared spreadsheets and logins give everyone the same access to sensitive information. Without boundaries or a record of changes, it is difficult to protect data or to answer questions after the fact.

In practice

A new finance assistant is given a role that allows recording expenses but not approving them. Their entries appear in the audit trail, and a finance officer approves them.

Connected to the platform

Permissions apply across every module, so oversight is consistent whether a user is updating a member, recording a donation or posting a journal. Specific access arrangements are agreed with Reedox during configuration.

What you can do

  • —User accounts with assigned roles
  • —Role-based access to modules and financial actions
  • —Approval steps for expenses and draft journals
  • —Activity log and finance audit trail
  • —Organization profile and configurable categories
